The United Nations Children’s Fund (UNICEF), the world’s leading organization working for the rights of children, is inviting applications for the above position.

Purpose of the post

Under the supervision of Chief of Supply & Logistics Section, the Administrative Assistant provides administrative services for Supply & Logistics Section.

Major Duties and Responsibilities of this post include:

  • Manage all the incoming and outgoing correspondences, documents of the S&L Section and provides requested supply documents;
  • Prepares, coordinates and process travel authorizations for travel and security clearance, make travel arrangements and ensure that the TAs are closed on time;
  • Draft budget for the Section, manage and report utilization of budget;  Prepare commitment documents in Vision and ensure that they are authorized, utilized and closed;
  • Coordinates the Contract Review Committee (CRC) meetings;
  • Payment Management - Receives & scrutinizes supplier/contractor’s invoices for completeness, compiles and attaches supportive documents;
  •  Classifies and codes documents relating to a number of subject - matter areas and maintains and updates individual requisition files with all required procurement documentation;
  • Generates various Supply Management Reports for CMT from Vision; Monitors the Indicators in the report;
  • Assist the section chief and supply & Logistics team as required.
Educational Requirements

MINIMUM REQUIREMENTS:

Educational requirements: Completion of secondary education preferably supplemented with a university courses related to the work of the organization.

Desired Skills

Work Experience: A Minimum of five years of administrative or clerical work experience in UNICEF and/or other UN Agencies.

Language Proficiency: Fluency in English and knowledge in national and regional working languages has also an advantage.

Experience Requirements

Nationality:    Candidates should be NATIONALS of Ethiopia.
