Three Roots International (TRI)Vacancy AnnouncementPosition: Finance & Admin AssistantJob Summary:• The Finance and Administration Assistant will be responsible for delivering and maintaining a high standard of day-to-day operations support activities of Three Roots International’s programs. S/he is responsible to handle routine office support services including financial management, store and property management, office records management, programs support, etc.Specific Roles and ResponsibilitiesThe Finance and Admin Assistant will:• Provide secretarial and administrative support to Three Roots International;• Record and dispatch outgoing mail and correspondence including electronic mails;• Manage all incoming mail, and action any correspondence suitable for response;• Answer incoming phone calls, and pass on messages to the appropriate staff;• Forward messages and reminders to the right staff for action ensuring high priority matters are given urgent attention;• Manage office calendar, dealing with external enquiries, booking appointments and informing the parties involved accordingly;• Create and maintain an efficient filing system for organizational documents ensuring an effective storage and retrieval procedure;• Maintain adequate stock levels of stationery and office supplies and consumables;• Handles stores by receiving and issuing goods procured and distributed;• Maintains appropriate store records;• Order stock and none-stock items, and forward requisitions to finance department;• Communicate effectively with all program staff within areas of responsibility;• Support staff in dealing with administrative tasks related to the operation;• Schedule meetings, and represent staff during meetings where appropriate;• Arrange and participate in induction and trainings for staff and volunteers;• Maintain the workplace health and safety, and uphold security policies in a way that minimizes risks to all staff and visitors;• Handles petty cash fund as per the policies and procedures of the organization;• Input accounting entries in the computerized application package;• Prepares and maintains disbursement records including checks, bank transfers, etc.;• Report incidents or accidents to a line manager, and assist in any investigation;• Perform other duties as required.- Required Travel: Occasional travels within project implementation areas- Duty Station: Debrezeit

Job Requirement:
• Have at least College Diploma or Degree in Finance, Management, Secretarial Science and Office Management or other related disciplines
• Has 4 years of relevant work experience diploma graduates and/or 2 years of relevant work experience degree holders
• Has excellent MS Office application skills including MS-Word, MS-Excel, MS-Access, MS-Power point, etc.
• Proficiency in English and Amharic languages; Ability to communicate in other local languages is desired
• Proven coordination and time management skills
• Demonstrated team player
