Position: Deputy General Manager (HR and Admin Finance Head)Description of duties- Organizes & facilitates competence test (if necessary) for staff recruitment & promotion.- Carries out preliminary screening & short listing of ideal candidates in cooperation with concerned work units.- Checks fulfillment of employment formalities in accordance with HR manual of the company. - Arranges or conducts induction & orientation programs.- Participates on development of workforce plans and programs that align with the company’s overall strategic objectives.- Assess the workforce's current capabilities. Periodically examine future labor trends and expected vacancies.- Administers annual leave, medical leave, maternity leave and other social leaves. - Facilitates settlement of disciplinary matters and subsequent grievances.- Handles attendance and complies reports on tardiness & absenteeism, and transmits same for payroll information.- Third fulfillment of third party obligations related to employees.- Ensures incoming files, outgoing files and personal files including, records and archives are kept orderly, confidentially & safely. And making sure to up to date maintenance of manual and electronic personnel files. - Performs other related activities when the n?ed arises & as assigned. - Performs as an assistance to the Chief Executive Officer..- Delegating duties to employees to complete projects, streamline day-to-day activities, or meet new objectives- Terminating employees when necessary- Creating weekly or monthly schedules for employees- Handling administrative functions within the company- Attending or leading department meetings to assess progress with projects- Tracking company performance and identifying problem areas or opportunities for improvement- Giving presentations and orders to employees to educate them on new initiatives, procedures, or projects- Mediating disputes between employees and handling employee complaints or concerns- Assisting the company management as needed with all projects and duties- Acting as a company representative to other institutions, business partners, stakeholders, and the public- Implement business systems to allow the company to function optimally- Review and revise existing systems- To ensure the smooth and efficient running of office. - To review, revise and implement business systems to allow IntraCom to function optimally. - To manage the quality control function and to generate status and improvement reports for Senior Management. - Service the Senior Management meetings and ensure papers are available in advance for all meetings. - Produce reports for Senior Management on the performance of the administrative section of the organization including HR-Staff Performance and systems reporting. - Manage the vehicle data base and commissioning of vehicles, including managing transport system of the company. - To manage staff in administration, Finance, HR, IT, Field Engineers,- To be responsible for health and safety compliance for the organization.- Any other tasks required by the Chief Executive of IntraCom commensurate with the level of the post.
