UNOAU - United Nations Office to the African UnionVacancy Announcement Position: Intern - Administration, I- Duty Station: Addis Ababa- Closing Date: 19 September 2018Responsibilities- Under the direction of the Chief of Staff, the Intern’s responsibilities will involve the following:- Collect all reports, cables, papers, instruments, materials (‘the documents’) that are unattended in various bookshelves located in various sections of UNOAU;- Through the creation of different folders and files, categorize the documents in accordance with the UN classification (including type, importance, year, issuer etc.);- Work closely with all UNOAU Administrative Assistants to collect all relevant information and documents in their possession for their classification, scanning and archiving while ensuring that an operational, fully functional and sustainable mechanism is put in place;- Within the existing systems available in UNOAU and in close collaboration with UNOAU Field Technology Services (FTS), set up a mechanism to archive the soft copies of collected documents in a designated library and, subsequently, as electronic data;- Assist in maintaining records security controls, as directed;- Work with UNOAU FTS to be issued appropriate access rights during the folders creation and data transfer;- Proactively contribute suggestions and ideas to design and/or produce supporting materials to increase proper handling and safeguard of UNOAU documents; - Perform other duties as required.Special NoticeA completed online application (Cover Note and Personal History Profile) is required.
